How Greenhouse reads your resume: applying to tech companies

Greenhouse is one of the world's most widely used applicant tracking systems — especially among tech companies, scale-ups and internationally minded firms. Plenty of German companies run their hiring through it too. Here is how to handle it well.

How to recognise Greenhouse

Typical signs: the job ad runs via job-boards.greenhouse.io or boards.greenhouse.io, or the application form carries a "Powered by Greenhouse" note. The forms are longer than in some other systems: besides the CV upload there are often several extra questions — from work permit to "Why do you want to join us?".

The most important rule: take the form questions seriously

The most common mistake in Greenhouse applications: filling in the extra questions half-heartedly because "it's all in the resume anyway". That doesn't work — these questions are separate, structured data fields in the system. They are not populated from your resume, and for so-called knock-out questions (work permit, for instance) a wrong or missing answer can trigger an automatic rejection. What happens to your resume

After the upload, Greenhouse parses your document into a candidate profile: positions, education and contact details are stored in structured form and made searchable. The original PDF is kept and read by recruiters alongside.

The actual selection at Greenhouse-using companies typically runs through structured interviews with scorecards: the hiring team rates candidates against predefined criteria. Your CV data serves to prepare those conversations — not to feed an automatic ranking. All the more important that the parsed data is complete: whatever is lost during parsing (column layouts, graphics, header contacts) is missing from search and preparation. German or English?

Many Greenhouse users are international. A simple rule of thumb: the language of the job ad is the language of your application. If the ad is in English, the team expects an English resume — even if the company is based in Germany. Best keep both versions ready.

• Answer all form questions completely and honestly — never refer to your CV
• Ad language = application language (English ad → English resume)
• PDF with a text layer, single column, standard headings
• Contact details as text in the document body
• Relevant technologies and skills written out as text (not only in logos or bars)
