How Personio reads your resume: applying to German companies

Personio is the applicant tracking system of the German Mittelstand. What happens to your resume after you click "Apply" — and what really matters.

By Redaktion · · Updated on

Key takeaways

  • Personio doesn't auto-reject by default — recruiters see your profile AND your original PDF.
  • Your resume is parsed into profile fields: whatever the parser can't map is missing from search and filters.
  • Personio career pages often ask for very few form fields — your resume carries most of the information.
  • Single-column layout, standard headings and contact details as text make for a complete profile.

If you apply to a German small or medium-sized company, chances are your application lands in Personio — the most widespread applicant tracking system in the German Mittelstand. Here is what happens after you hit submit.

How to recognise a Personio application

Personio career pages typically run under an address like companyname.jobs.personio.de — or the application form on the company website is embedded from there. The forms are usually pleasantly short: name, email, resume upload, maybe two or three extra questions. That brevity has a consequence many people underestimate.

Short form means: your resume carries everything

Where the form asks little, your resume has to deliver more. After the upload, Personio parses your document into a candidate profile with fixed fields — personal data, positions, documents. The recruiting team works from this profile: searching, filtering, getting a first overview.

That means: whatever the parser can't cleanly extract from your PDF isn't in the profile. The phone number in the page header, the skills in a bar chart, the work history in a nested right-hand column — all of that can get lost during parsing. Not because Personio does a bad job, but because parsers in general read text line by line and don't interpret designs.

The good news: your original stays visible

An important difference to the robot myth: Personio keeps your original PDF, and recruiters frequently read it directly — exactly as you designed it. Your resume is allowed to look good. It should ADDITIONALLY parse cleanly so the searchable profile is complete too. Looks and machine readability are not a contradiction; how both work together is covered in the 10 rules for an ATS-friendly resume.

And: Personio doesn't rank or reject automatically by default. A human makes the shortlist in the profile and document view. Anyone telling you an algorithm decides your Personio application is confusing the German Mittelstand with US enterprise screening — more in The ATS myth.

One more thing for international applicants

Most Personio users are German companies hiring in German. If the job ad is written in German, a German resume is usually expected — if your German is still developing, say so honestly in the application rather than hiding it. If the ad is in English, apply in English.

Checklist for your Personio application

  • Upload a PDF with a text layer (directly exported, no scan) — test: selecting and copying text in the PDF must work
  • One column, clear standard headings ("Work experience", "Education", "Skills")
  • Contact details in the document body, not in headers/footers or icons
  • All relevant skills as text — nothing only in graphics
  • Answer the form questions completely — they are separate data fields, not read from your CV
  • Professional file name: CV_Firstname_Lastname.pdf

How does your resume arrive at Personio? Test it.

The free Midvalla resume check reads your PDF exactly as stubbornly as a parser does — and shows you which information arrives cleanly and which gets lost. If you check against a job from our job search, the tool even detects automatically which applicant tracking system the company uses. 60 seconds, no account, your file is never stored.

Frequently asked questions

Does Personio reject applications automatically?
By default, no. Personio transfers your documents into a candidate profile that recruiters review themselves — your original PDF stays visible too. Automatic rejections only come from knock-out questions in the form.
How do I recognise a Personio application?
Usually by the career page address following the pattern companyname.jobs.personio.de, or by a correspondingly embedded, rather short application form on the company website.
What matters most in a resume for Personio?
Clean machine readability: PDF with a text layer, one column, standard headings, contact details as text. Since the forms are short, the resume carries most of the information.
